COVID-19 vaccination payment declaration: January activity data queries

We’re aware that some providers have raised queries about data for January activity. Due to a data processing issue, some January activity is currently missing from the data received by the Manage Your Service (MYS) portal. We believe this issue is affecting around 3.8% of total January activity. We are continuing to work with partners to resolve this as a matter of urgency. We apologise for any inconvenience caused to providers as a result of this issue. We believe that December activity is unaffected. 

Unfortunately, it is not possible to add the missing January data in MYS before the declaration window closes at 11:59pm on Thursday 11 February. It is also not possible to extend the declaration window. 

We will work with NHS England regional teams and providers to carry out a full reconciliation and ensure that any underpayment or over-payment is adjusted for and paid or reclaimed at a later date, ideally by the end of the financial year. 

Querying your data 

If you believe your data is incorrect you can either: 

  • submit your declaration for December and January activity. This means you will receive a payment in February based on the data as it currently appears in MYS. We will work with NHS England regional teams and providers to carry out a full reconciliation and ensure that any underpayment or over-payment is adjusted for and paid or reclaimed. Please complete this webform by 11:59pm on Wednesday 17 February to support the reconciliation process. The form should be completed by one of your nominated users who has access to MYS. Please do ensure that we only receive ONE response per provider and that appropriate contact details are included within the form to allow us to come back to you. 
  • submit the declaration in MYS for December only. If you believe your December data is correct you can submit this claim and leave your January declaration open. This means you will not receive a payment in February for any undeclared activity. NHS England is unable to make advance payments to providers who have chosen not to declare in February. Your remaining unclaimed activity will be rolled forward and you will be able to claim this in the March declaration window. 
  • not submit a declaration this month. This means you will not receive a payment in February. NHS England is unable to make advance payments to providers who have chosen not to declare in February. Your remaining unclaimed activity will be rolled forward and you will be able to claim this in the March declaration window. 


To ensure you receive payment in February, we recommend that you submit your declaration in MYS based on the current data before the declaration window closes at 11:59pm on Thursday 11 February. NHS England has amended the wording of the declaration for this month to reflect the fact that you may have queried the activity data. 

Care home supplement data 

We're aware that some providers are concerned about making a declaration if they believe that the care home supplement data visible in MYS is incorrect. Previous guidance was that once activity is claimed the vaccination event is ‘closed’ and no further amendments can be made for payment purposes.   

The guidance has now been amended for this month. If you submit your declaration for December and January, your care home supplement activity will be included in the reconciliation process and any discrepancies arising from missing data will be corrected.
